You directly provide TOEBI with most of the data we collect. We collect data and process data when you:

• Apply for membership
• Update your membership information
• Renew your membership
• Submit material to our newsletter
• Register for our Annual Meeting
• Use or view our website via your browser’s cookies.

TOEBI may also receive your data indirectly from the following sources:

• Membership payments made through PayPal
• Membership payments made by Bank Transfer

How will we use your data?

TOEBI collects your data so that we can:

• Process your membership application and manage your subscription
• Ensure effective communication with you
• Keep financial records
• Maintain a formal record of your activities with us
• Undertake research into your activities with us
• Email you with TOEBI news or on other TOEBI business

TOEBI will not share your data with other companies or organisations unless legally obliged to do so.

How do we store your data?

TOEBI’s secretary securely stores your data in hard copy or digitally with access limited to only those members of the committee who need to see it; membership lists are only ever shared with other members of the committee when necessary, and when shared by email they are password-protected.

Personal information is not shared outside of the society and its committee unless you give us express permission to do so.

We keep your personal information for as long as we need it, and usually for five years after your membership ceases. Such information is securely shredded or deleted when no longer relevant.

Communications

TOEBI would like to send you information about conferences and events  that we think you might like, as well as TOEBI news.

As part of your membership, you agree to receive these communications, but you may always opt out at a later date.

You have the right at any time to stop TOEBI from contacting you by emailing our secretary.

What are your data protection rights?

TOEBI would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access – You have the right to access the personal information that we hold about you.

The right to rectification – You have the right to request that TOEBI correct any information you believe is inaccurate. You also have the right to request that TOEBI complete any information you believe is incomplete.
